  • Development Coordinator

    IMMEDIATE SUPERVISOR: ISPE Foundation – Director of Development and Operation

    General Summary

    Working under the supervision of the ISPE CEO & the Director of Development and Operations and the guidance of the ISPE Foundation Board, the development coordinator is responsible for assisting in finding new donors, managing various annual fundraising campaigns across multiple platforms, event management, provides general administrative and fundraising support. The Development Coordinator will also help successfully manage and coordinate operations with ISPE staff and volunteers with the goal of implementing initiatives that will result in the achievement of the Foundation’s mission and vision.

    Principal Duties and Responsibilities

    Essential Functions:

    Annual Fundraising:

    • Management of Annual Campaigns and & Direct Ask Fundraising Appeals – executes donor acquisition and renewal plans across all levels. Cultivate new and existing donors, oversees and implements all an nual giving campaigns efforts including Giving Tuesday, annual member asks and end-of-calendar year annual giving outreach
    • Provides administrative support for the Development Committee, Director of Development and general departmental tasks

    Administrative Support:

    • Provides administrative support for the Development Committee, Director of Development and general departmental tasks
    • Support donor stewardship efforts by maintaining current knowledge of policies and procedures for gift transactions, gift stewardship process, budget tracking, scholarship awarding, and report generating
    • Maintain fundraising records to include proposals, gift agreements, updating donor records and meeting records
    • Monitoring progress of specific tasks and priorities within the office
    • Assist the Administrative Assistant to President & CEO as necessary in preparing Board communications, managing board logistics and maintaining Board documents, files, and folders
    • Assist in the preparation of written materials, Excel spreadsheets, presentations, reports, etc.
    • Maintaining and monitoring generic ISPE Foundation email accounts
    • Assist in grant and proposal writing as necessary
    • Other administrative duties as assigned

    Pipeline Management:

    • Utilizing moves management principles and appropriate donor software, enters contact reports and proposals, track and assess donor and departmental progress toward fundraising goal. Update and maintain online donor profiles and giving
    • As appropriate, interface with various departments to discover potential prospects for development and research
    • Donor and grant research – Engages in activities to support building a sustainable giving pipeline for corporations, members, unidentified supporters
    • Activities include researching for new donors/corporations, wealth indications, and funding propensity

    Discovery and Research:

    • Conducting custom prospect research and preparing donor reports for the Executive Team, Board members and Director of Development
    • Preparing prospect and donor briefings in preparation for meetings and events
    • Ensuring accurate and complete donor database records; capturing up-to-date information via correspondence, postal returns, research, etc.

    Donor Communications:

    • Manages the Foundation Communication Calendar - Collaborate with internal teams, including Marketing and Communications teams, to create and deliver multi-channel (print, email, web, social media) member communications and giving campaigns
    • Assist Development of Director and Communications staff with developing emails and other correspondence for events, outreach, campaigns, and other communications
    • Assist in developing a wide range of impactful donor communication materials including producing solicitation and stewardship letters, impact reports, etc., across various platforms

    Event Coordination:

    • Lead on all foundation special events, specifically annual Golf Tournament, and 5K Run. Overseeing logistics, sponsorship securement and other event related activities
    • Managing logistics and communications for development-related events within the foundation; coordinating with other staff and board members/volunteers when needed
    • Provide assistance in donor-related special events as requested

    Requirements & Qualifications

    Education and Experience:

    • Bachelor’s degree or equivalent experience
    • Five years or more experience in nonprofit fundraising experience with the majority of experience specifically focused on golf outings and run/walk event fundraising
    • Experience working in an association and/or managing volunteers, peer-to-peer fundraising and with Salesforce is preferred

    Knowledge, Skills and Abilities:

    • Extensive communication skills, both orally and written, including the ability to speak publicly

You also have no problem rolling up your sleeves and managing special in-person/virtual events with a strong attention to detail.

    You will be responsible for driving member engagement, working with key volunteer groups including the global affiliates/chapters

    and core professional networking groups and will have complete ownership of all ISPE Awards programs. This is a highly visible role in which you will work with multiple key volunteer groups. You must have strong critical thinking and thrive in an environment with multiple responsibilities and deadlines.

    • Prepares and maintains a yearly timeline for all Awards initiatives ensuring that each Awards program remains on schedule from the nomination process through post-ceremony follow-up and programming
    • Works closely with marketing on award videos, marketing materials, programs, blog posts, etc to enhance Awards materials and increase digital presence and reach

    • Develops, initiates, and facilitates all Awards programming including liaising with FOYA winners on deliverables such as company videos, education sessions, marketing for the banquet and Annual Meeting

    Requirements & Qualifications

    Education and Experience:

    • Bachelor's degree in Human Services/Social Science, Business Administration, Marketing, or a STEM field.
    • Two- three years’ experience with volunteers and/or membership
    • Prior event management recommended
    • Experience with iMIS AMS preferred
    • Association or Pharma industry experience preferred

  • Operations Manager

    General Summary

    Working under the supervision of the ISPE CEO & the Director of Development and Operations and the guidance of the ISPE Foundation Board, the Operations Manager provides program management over all ISPE Foundation programs and activities, Grant Programs, and is the Corporate Social Responsibility Liaison. The Operations Manager will also help successfully manage and coordinate operations with ISPE staff and volunteers, manages the outcomes for those programs, including data collections, impact stories, etc., with the goal of implementing initiatives that will result in the achievement of the Foundation’s mission and vision.

    Principal Duties and Responsibilities

    Essential Functions:

    • Knowledge w/o Borders (Technology w/o borders, Translations), Workforce Diversity Programs (IFDIP, WIP), Scholarships and Grants Program (including AM and Professional Development Grants), and other like programs
    • Develop and manage the applications for the Grant Programs
    • Manage the Selection Committee for the Grant Programs (including scheduling meetings, collecting, and disseminating data, minutes, etc.)
    • Manage communications with company partners for the Grant Programs
    • Manage the communication needs with internal staff and 3rd party companies for the Grant Programs
    • Manage the communication with grant recipients
    • Liaison for producing grant and communication deliverables and tracking progress
    • Corporate Social Responsibility Liaison - Manage the granting and application process for corporations, industry leaders, and other supporting like affiliates
    • Monitor, track and report the impact of programs. Produces outcome and progress reports data (ROI) gathering and works with MARCOM to assist in communicating impact and program deliverables
    • Manage the operations for the Foundation’s activities at the ISPE Annual Meeting & Expo and other ISPE conferences
    • Provide operational updates to the Foundation Board of Directors and Foundation Executive Committee as necessary

    • Oversee management, community, and Board reports on results of Foundation initiatives
    • Lead committees of volunteers and experts to progress Foundation strategies
    • Assist in developing and promoting the messaging and effective communication of the Foundation’s evolving story of beneficial impact to stakeholders and society
    • Develop criteria to evaluate the effectiveness of the Foundation’s programs and participate in the development of strategies to facilitate future progress
    • Obtain, maintain, and share a high level of knowledge of the most effective strategies and current thinking (best practices) in the Foundation community
