  • Digital Marketing Manager

    General Summary

    The Digital Marketing Manager is responsible for the strategy, planning, executing, reporting and analysis for all of ISPE’s digital marketing campaigns across all digital channels. This position will act as the client-service manager on digital marketing projects, bringing digital marketing knowledge and skills to the marketing and communications plans.

    The Digital Marketing Manager position will be involved in developing and executing onmi-channel digital marketing campaigns including, but not limited to, paid advertising, paid search, remarketing, social media, website, organic, etc. as well as web content to engage members and nonmembers, disseminate news and information about ISPE, and increase non-dues revenue through product sales, event attendance, and training.

    This position will also be responsible for managing and improving the user experience on the ISPE website. This includes collaborating with the web content specialist to provide guidance to the design and implementation of marketing campaigns to enhance the overall online presence of the company’s website and act as a backup for execution when needed. The Digital Marketing Manager will ensure consistency throughout ISPE’s online presence, ensuring continuity of brand direction in all digital marketing efforts.

    The Digital Marketing Manager position requires a data-driven professional that leverages statistics to implement effective marketing strategies and processes for all responsibilities.

    Principal Duties and Responsibilities 

    Digital Communications:

    • Leads the development, execution, and implementation for all of the digital marketing campaigns across all of the revenue and non-revenue generating value streams
    • Creates schedules, establishes goals, and sets timelines for digital and online marketing efforts
    • Measure and report performance of all digital marketing campaigns, and assess against goals (ROI and KPIs) to draw key recommendations for campaign optimization
    • Work with internal stakeholders to brainstorm new and innovative growth strategies that continue to improve on ROI and KPIs with the ultimate goal of driving revenue
    • Contributes to the development and implementation of an annual marketing plan to ensure proper utilization of digital marketing channels
    • Execute campaigns that meet or exceed registration and revenue targets for ISPE conferences, webinars, training, membership, guidance documents, etc. meeting budgeted product sales and membership targets, and support key initiatives
    • Identify trends and insights, and optimize spending and performance based on the insights
    • Monitors official ISPE online/digital communications for accurate and consistent compliance with ISPE branding guidelines.
    • Writes and edits ISPE’s online/digital content, including copy for web pages, social media messages, blogs, newsletters and bulk communication (email, text, etc.).
    • Proofreads all digital marketing communications during the approval process.

    Web site:

    • Helps ensure that all online content is strategic, user-centered, targeted, engaging and furthers ISPE’s goals. The incumbent is responsible for coordinating content written by various authors and making recommendations for new content
    • Implements ISPE web and data management processes and procedures
    • Collaborate with internal stakeholders to create landing pages and optimize user experience
    • Advises content owners to determine which/how much content is appropriate and best format for content in terms of user experience, findability, and SEO.
    • Inputs and publishes content including text, images, video, audio, multimedia files, and third-party content
    • Works with the Website Content Specialist to ensure content is positioned and promoted properly via the website. Writes headings, links text, and ensures segues that make sense to users and advances SEO efforts.
    • Ensures that content posted to the web site adheres to format, file size, and filename guidelines, and that security settings are appropriately set.
    • Participates in CMS user acceptance testing.
    • Other duties as assigned.

    Requirements & Qualifications

    • Bachelor’s degree in Communications, Digital Marketing, Marketing or a related field
    • Minimum 3 years’ experience in executing digital marketing campaigns with specific knowledge in, but not limited to, LinkedIn Ads, Google Ads, Google Ad Manager, Google Analytics, Google Tag Manager, YouTube, and Facebook
    • Minimum 3 years’ experience in managing website projects, user experience and/or content
    • Minimum 2 years’ experience in creating and executing social media campaigns on LinkedIn, YouTube, Facebook, Twitter, blogs, etc.)
    • Excellent organizational, project management and problem-solving skills to juggle multiple responsibilities at once and consistently meet deadlines.
    • Demonstrated experience using marketing analytics to inform and improve campaign strategy
    • Experience leveraging social media management and analytical tools such as Hootsuite, etc.

  • Program Coordinator

    IMMEDIATE SUPERVISOR: Director of Events
    DEPARTMENT: Conferences and Digital Engagements (CDE)

    General Summary

    This position is the foundational support for ISPE conferences and digital engagements by coordinating all speaker activities and assisting the Associate Vice President, Conferences and Digital Engagements, Director of Events, and the Program Managers with executing a successful event. Supporting the CDE Team includes the tactical and technology implementation of events and the strategic goals of the Conferences and Digital Engagements (CDE) department and overall organization. This position also provides support, in coordination with the other CDE staff for all conference program committees as needed. This position collaborates frequently with other internal departments including but not limited to Member Services, Sales, Marcom, etc. and involves frequent, direct communication with ISPE Members.

    The ideal candidate has excellent project management skills, the ability to learn, implement and manage new technologies, detail orientated, ability to multi-task effectively, prioritizes tasks to ensure deadlines are met, and enjoys member interactions.

    Principal Duties and Responsibilities 

    Essential Functions:

    • Program Coordination – Oversees all aspects of speaker coordination
      • At the direction of the Director of Events and Program Managers, prepare all industry speaker invitations and confirmation letters and in coordination with the Regulatory Affairs Team, all regulatory speaker requests forms and confirmation letters
      • Communicate directly with program committees and speakers to obtain necessary deliverables (i.e., bios, presentation, travel needs, contact information, photo, etc.)
      • Create and maintain speaker deliverables tracking sheets for pre-conference and on-site coordination, speaker invitation and confirmation letters (which includes speaker agreement verbiage) bios, speaker photos, presentation abstracts, and presentations
      • Maintain speaker data and register all program committee members, leaders, and speakers for designated events
      • Work closely with our MarCom team to ensure accurate speaker elements on event website
      • Set up registration as needed and maintain session and speaker data in content management system (iMIS) to ensure accurate and timely updates to event websites
      • Attend meetings and act as liaison to program planning committee and speakers
    • Conference Materials Coordination – Manage all education-related conference materials
      • Coordinate packing, shipping, unpacking, and distribution of event materials with Program Managers
        • Prepare Moderator packets and related materials for each event
        • Prepare external drives for transport of presentations
        • Order necessary materials for event use
      • Manage presentations and related materials
        • Collect and format presentation materials and related permissions submitted by leaders and speakers for on-site use and website access for attendees
        • Liaise with Program Lead and speakers concerning all presentations edits and content quality, to meet ISPE quality standards
        • Produce and upload conference handout materials
    • Communication – Coordinate activities and communication with related stakeholders
      • Coordinate all related functions to ensure projects timelines and goals are met.
      • Escalate in a timely manner any challenges and concerns impacting the speakers and program
      • Support the goals of the CDE Team by proactively identifying, discussing, and contributing ideas for ongoing improvement to processes and procedures to drive efficiencies both internally and externally
    • Technology – Manage the day-to-day operations of the online event platform
      • Set-up, manage, review, and troubleshoot the virtual event platform
      • Collaborate with internal stakeholders to complete the build-out of an event on virtual event platform
      • Collaborate with external stakeholders to fulfill the recordings of sessions and enhance the speaker experience
      • Basic understanding of how online event platform integrates to the internal association management system

    Job Requirements  

    Education and work experience: 

    • Bachelor’s degree required, preferably in business and/or association management, meeting planning, marketing, or related field
    • Minimum three (3) years’ experience producing events and continuing professional education events
    • Minimum two (2) years’ experience in project management
    • CMP Certification preferred
    • Pharma experience a plus

    Knowledge, Skills and Abilities: 

    • Strong attention to detail in evaluating the completion of various phases of a project
    • Experience working with a cross-functional internal team including education, marketing, sales, and Logistics

  • Web System Analyst

    IMMEDIATE SUPERVISOR: Senior Director of IT
    DEPARTMENT: Information Systems

    General Summary

    The position works with all ISPE departments to assist with system and data needs and oversees aspects of ISPE’s e-commerce and other web-based transaction systems. This position will work closely with end-users and department heads to discover needs and propose solutions. Helps resolve technical issues and coordinate the deployment of fixes or new modules to help meet company needs.  Acts as a liaison between ISPE and vendors when needed.  

    Principal Duties and Responsibilities 

    Essential Functions:

    • Manage e-commerce system and website including technical issues, new functionality development, project management, vendor coordination.
    • Management of the integration and interoperability of all e-commerce system components including content management system (CMS), on-line communities (COP), learning management system (LMS), search with association management database.
    • Manage IS assets and monitors all IS-related purchases to ensure effective, efficient use of IS resources.
    • Work with outside vendors and individual departments/employees to meet the departmental needs related to data analysis, presentation and system features.
    • Actively pursue opportunities for efficiency improvements in every department using modern systems and toolsets.
    • Recognized as the in-house expert on e-commerce system reporting and functionality and document the procedures for all reports.
    • Continually monitor staff software requirements and suggest improvements to ensure most efficient use.
    • Assist in the analysis, development and support of application development and reporting initiatives for all departments including developing procedures to gather, interpret and document reporting requirements.
    • Actively participate in project meetings with department heads to provide potential solutions where there are opportunities for improvement.
    • Analyze, communicate, and troubleshoot functional and technical software including reporting issues and problems with data integrity.
    • Based on the needs of the departments, produce training programs to help utilize resources more efficiently.
    • Provide on-site technical assistance to staff and outside software vendors for installations, upgrades & modifications.
    • Assist Application Analyst and Website Infrastructure Analyst in developing reporting tools.
    • Ensure all e-commerce documentation is current and thorough (including but not limited to software customization and patch management.
    • Routinely work in accordance with and adhere to company policies and core values.

    Job Requirements  

    Education and work experience: 

    • 3-5 years of work experience with enterprise systems with a web interface.
    • Minimum of 3 years experience managing data and/or web related projects.
    • Require a bachelor’s degree in web design, computer science, information systems or related subjects.
    • SQL, CSS, Javascript, JQuery required
    • C#, .NET, iMIS Engagement Management System preferred but not required
